In the event the cost to repair is exorbitant, the machine may be replaced if repair is determined to be uneconomical. A form 19-118 should be prepared requesting the purchase of a new machine and submitted to Fiscal Services as outlined in Section 40 of the Accounting Manual.
After repair, the repairer shall furnish an invoice in six (6)copies or a Vendor's Invoice (Form 19-113) in an original and five (5) copies to the Resident Engineer. (Section 30 of the Accounting Manual contains preparation instructions for Vendor's Invoice - Form 19-113).
Upon receipt of the repair invoice, or Vendor's Invoice, the Resident Engineer shall prepare a Confirmation Purchase Order (CPO) (Form 19-151) in accordance with Section 30 of the Accounting Manual. NOTE: The vendor's copy of 19-151 shall be mailed to the vendor at the time the CPO is forwarded to the Construction Office for payment.
121.04 Repair of Office Furniture. Repair of office furniture shall be handled
the same as for office machines.
121.05 Acquisition, Transfer and Disposal.
In order to acquire, transfer, or
dispose of office equipment, a Request for Movement of Property, Form 19-118, shall be prepared in accordance with instructions contained in Section 40 of the Accounting Manual.
SECTION 122 AUTOMOTIVE EQUIPMENT
122.01 General. Department owned vehicles are public property. All operators are expected to set a good example by:
Observing all traffic laws.
Practicing courtesy in driving.
Maintaining all safety devices in operating condition and using them.
Keeping vehicle properly serviced and cleaned as provided by Department policy.
Maintenance Division and the Equipment and Procurement Division to procure and maintain all automotive equipment operated by the Department. Periodic inspection of all equipment is made by the Equipment and Procurement personnel. It is the responsibility of the District Equipment Superintendent, under the direct supervision of the District Engineer, to maintain the automotive fleet (autos, pickups, carryalls). Except for minor adjustments, it is the responsibility of the District Equipment Superintendent and personnel under him to see that repairs are made as soon as possible with the
understanding that equipment will be tied up at periods interference to field construction personnel operations. reported in writing and in a timely manner to the Shop Deficiency Report Forms are used
