ATHLETIC DIRECTOR DUTIES

1.

Schedule and exchange contracts with schools for all athletic events/contests (VGS B.P. 7:300 – R)

2.

Schedule and exchange contracts with officials for all athletic events/contests

3.

Schedule facilities for games, practices, and other related events (VGS B.P. 7:300 – R)

4.

Distribute master schedule of game dates, departure times, game times, and officials fees to administrators, coaches, bus drivers, scorekeepers and other related personnel

5.

Distribute printed copies of the season schedule to appropriate venues in the community

6.

Plan and coordinate special events such as the athletic banquet, conference meetings, post-season assignment meetings, and other school functions related to the Athletic Director’s office.

7.

Reschedule postponed games

8.

Keep accurate files on game contracts as well as official contracts

9.

Keep accurate and up-to-date inventory of all athletic equipment

10.

Keep accurate file on physical exams for all athletes

11.

Check the eligibility of all student athletes on a consistent, scheduled basis (academics)

12.

Assist the supervision of home games and attend away games when possible

13.

Attend all conference meetings as well as post-season meetings

14.

Order and distribute awards for the athletic banquet

15.

Submit budget through the budgetary process to Superintendent for approval of athletic budget for the coming year

16.

Communicate regularly with coaches on coaching matters – act as an advisor on all decisions

17.

Contact media concerning tournament pairings, dates and results

18.

Make sure that coaches are contacting appropriate news media sources to report scores and highlights of each of their contests in a timely manner

19.

Update and revise the athletic handbook on an annual basis for administrative approval

20.

Confer with administration upon request to discuss problems, goals, and general status of the athletic program

21.

Organize meetings, when requested, with coaches, support staff, and administration to discuss problems, goals, and the general status of the athletic program

22.

Facilitate the quarterly extra-curricular committee meetings that will include school board members, community personnel and requested administrators and coaches

23.

Meet with the board of education when requested to discuss the status of the athletic program

24.

Work with building principal to ensure the observance and practice of all IJHSA rules and regulations.  The athletic director shall be the designated IJHSA representative

25.

Organize trophy cases as needed as well as other displays representing the athletic department

26.

Keep school records updated

27.

The athletic director shall be a consultant to students, parents, and coaches upon request concerning issues related to the athletic program

28.

The athletic director may be requested to make recommendations to administration on retention of coaches and other athletic department support staff and personnel

29.

Write checks for athletic and IJHSA expenditures that are approved through the Superintendent’s office

30.

Annual evaluation of all coaches and support staff paid by the district

31.

Maintain and facilitate the upkeep of all athletic facilities

32.

Facilitate the preparation of facilities for athletic contests and events
